Client Information
When an attorney, firm, or pro se client requests an expert through Sentara, we collect information such as:

- Case type, jurisdiction, county, and relevant case details submitted in a request
- The discipline or type of expert being requested and any deadlines provided
- Correspondence exchanged with our intake team
- Billing and payment information when applicable
Applicant / Expert Information
When an individual applies to join the Sentara expert network, we collect information such as:
- Name, professional title, contact information, and professional summary
- Discipline, years of experience, and state(s) of licensure or certification
- Prior testimony, deposition, or litigation support history
- Uploaded documents, including CVs and resumes, board certifications, licenses, diplomas or degree confirmations, proof of work history, and any other supporting credentials submitted with an application
- Information gathered during our independent credential verification process
Other Information
We may also collect general website usage data (such as pages visited and browser type), information submitted through general contact forms, and any other information voluntarily provided to us through our website or in communications with our team.
03How We Use Information
We use the information described above to:
- Identify, vet, and match experts to attorney and client requests
- Verify the credentials, licensure, and professional history of applicants before they are added to our network or recommended for any engagement
- Communicate with clients and experts about active or prospective engagements
- Operate, maintain, and improve our website and services
- Process billing and payment where applicable
- Comply with legal obligations and enforce our Terms of Service
- Respond to inquiries, feedback, and support requests
04How We Share Information
Sentara shares information only where necessary to operate our services:
- Between clients and experts. When a client requests an expert, relevant portions of an expert's professional profile (such as credentials, experience summary, and availability) are shared with the requesting client. We do not share a client's confidential case details with an expert beyond what is necessary for the expert to evaluate or perform the engagement.
- Service providers. We use third-party vendors to operate parts of our website and intake process, such as form processing and file storage. These vendors are only permitted to use information as necessary to provide their service to us.
- Legal and safety purposes. We may disclose information where required by law, court order, or governmental request, or where necessary to protect the rights, property, or safety of Sentara, our clients, our experts, or others.
- Business transfers. If Sentara is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to the protections of this policy.
05We Do Not Sell Your Information
Sentara does not sell, rent, or trade personal information collected from clients, applicants, or website visitors to third parties for their own marketing purposes. Information is used solely to operate and improve our expert sourcing and referral services as described in this policy.

We retain client and applicant information for as long as necessary to fulfill the purposes described in this policy, including maintaining an active roster of vetted experts, supporting ongoing or future engagements, and meeting legal, accounting, or recordkeeping obligations. Expert applicant records, including submitted documents, are retained for as long as the applicant remains part of our active network, and for a reasonable period afterward in case of reapplication or legal need. You may request deletion of your information as described in Section 8 below.

We maintain reasonable administrative, technical, and physical safeguards designed to protect the information we collect from unauthorized access, disclosure, alteration, or destruction. Uploaded documents and case information are accessed only by personnel who need it to perform their role. No method of transmission or storage is completely secure, and we cannot guarantee absolute security of any information transmitted to us.

Depending on your relationship with Sentara and applicable law, you may have the right to:
